Payroll Preparation Services That Make Payday Uneventful

Our payroll preparation services take the scramble out of every pay period. Your dedicated Exoshore team gathers hours, raises, new hires and other changes, then stages the run in Gusto, ADP, QuickBooks Payroll or the system you already use. You or your U.S. payroll provider approves and releases the funds.

The challenge

Payroll errors cost trust, not just money

Payroll is the one task nobody forgives you for getting wrong. A missed overtime shift, a raise that didn't make it in, or a new hire left off the run turns into an uncomfortable conversation and a correction you have to make in a hurry. And it comes around every week or two, whether you have time or not.

For many owners, the hard part isn't clicking submit. It's chasing timesheets from managers, double-checking changes, and keeping employee records straight. That prep work is detailed and repetitive, and it's exactly the kind of work a trained team can own on a schedule. You stay the final approver; we just make sure everything is right before it reaches you.

What's included

What you get with payroll prep

Hours compiled

We collect timesheets or time clock data each period and check them for gaps, overtime and obvious errors before anything is entered.

Changes captured

Raises, new hires, terminations, bonuses and deduction changes are logged and applied so nothing slips through.

Run staged in your system

The payroll run is built in Gusto, ADP, QuickBooks Payroll or your current platform and left ready for review.

Your approval, your release

You or your U.S. payroll provider reviews the staged run and releases the funds. We never move the money.

Employee record upkeep

Employee details, pay rates and schedules are kept current in one place, so each run starts from accurate data.

Pre-run checklist

A consistent checklist runs before every pay date, catching common issues while there is still time to fix them.

The value

Why payroll preparation services are worth handing off

Fewer payday mistakes

A checklist and a second set of eyes catch errors before they reach paychecks. Your staff get paid correctly and on time, which builds trust.

Hours back every pay period

Chasing timesheets and keying in changes is handled for you. Your part shrinks to a final review and an approval.

You keep the final say

Funds only move when you or your payroll provider release them. You get the help without giving up control of payroll.

Cleaner records

Up-to-date employee files make year-end forms, audits and benefits changes easier. Your accountant will notice the difference.

Who it's for

  • Owners who run payroll themselves in Gusto or QuickBooks Payroll late at night
  • Restaurants, clinics and trades with hourly staff and shifting schedules
  • Office managers who spend a full day each cycle chasing timesheets
  • Growing teams adding new hires faster than their payroll routine can handle
  • Businesses using ADP or another provider that still need someone to prepare the inputs

FAQ

Payroll prep questions, answered.

How much do your payroll preparation services cost?

Pricing is based on headcount. Starter is $200/mo for up to 10 staff, Growth is $400/mo for 11 to 30, and Premium is $700/mo for 31 or more. A one-time setup fee is quoted in your proposal. There is a 3-month minimum, then month to month.

Do you release payroll or handle payroll taxes?

No. We prepare and stage the run. You or your U.S. payroll provider approves it and releases the funds, and your payroll platform or provider handles tax deposits and filings. We never hold or move your money. That keeps the money and the tax responsibility where they belong, with you and your provider.

Which payroll systems do you work with?

We work inside Gusto, ADP, QuickBooks Payroll and similar platforms, using logins you control. If you use something else, mention it on the free call and we'll confirm whether it's a fit. You keep ownership of the account, and every team member who supports you signs an NDA.

What do I need to provide each pay period?

Timesheets or time clock access, plus a heads-up on any raises, hires, terminations or bonuses. We can collect hours directly from your managers if you prefer. Then you review the staged run and approve it. Most owners find their part takes minutes instead of hours.

How quickly can you take over prep?

Once setup is done and your records are organized, we can usually start with your next pay cycle. We often run the first period side by side with you so you can check our work before stepping back. That way you are comfortable with the routine before you hand it off.
